As lead events coordinator you will:

  • Ensure events meet Lark Hotels’ quality and Brand expectations.
  • Conduct site walk-throughs with potential clients.
  • Work with clients and vendors to create and finalize event information (timeline, floor plan, staffing, food and beverage details, and more).
  • Work with marketing/public relations team and Company Events Coordinator to effectively promote events.
  • Manage on-site production for events.

When you are at the hotel, you will be the primary representative of our boutique brand. Daily tasks include: guest reservations (phone and online), hospitality and concierge service, checking in/out guests, washing and folding laundry, some breakfast prep and other tasks related to the daily operation of the property. We will of course provide training.

Reliability is an absolute must. The right candidate will be friendly, hard-working, forward-thinking, detail-oriented and trustworthy, open to receiving feedback while working independently and as part of a team, and be able to make thoughtful judgment calls with guest needs and requests. Familiarity with Portsmouth, its culture, events and geography is a bonus. You will also possess:

  • Excellent communication skills, including writing, proofreading skills, and speaking.
  • Superior organizational skills and experience with project management.
  • Excellent interpersonal skills both in person and by phone, with high professionalism.
  • The ability to accomplish projects with little supervision.

Sales & Event Coordinator - Hotel Salem

The Hotel Salem, located in Salem, MA, is seeking a Sales and Events Coordinator (SEC)to plan and oversee events and meetings, as well as, coordinate group bookings. The ideal candidate for the SEC role will be an experienced, take-charge professional with ability to manage administration and logistics of numerous events at one-time. The SEC must be able to anticipate needs, multitask and meet deadlines with little supervision, and be able to work evenings and weekends. The SEC will be self motivating and assume ownership of the process from inquiry to completion of event. Hours will be spent working at the hotel and in the field 5 days per week which will include many weekend hours.

The SEC also should have a passion for and experience with event management, meeting planning, weddings and other large and small functions, and should be someone who provides outstanding customer service, is an enthusiastic professional who is comfortable speaking in public, teaching, and is able to build relationships with customers and the on-site team. This person will be responsible for selling and coordinating events and group bookings as well as execution of events. This person will report directly to the General Manager of the hotel and will be in communication with the Lark Events Coordinator for guidance and direction.

Policies and Procedures

  • Manage event/meeting and group booking requests received by customers and guide approval/denial based on policies set forth.
  • Coordinate with partnered vendors
  • Maintain communication with General Manager, Regional Manager and Lark Events Coordinator
  • Foster relationships with local businesses and influential community members

Event Planning and Production

  • Ensure events meet Lark Hotels’ quality and Brand expectations.
  • Proactively visit area business and groups to build relationships and solicit business.
  • Continuous research of upcoming events in the surrounding area that could give ability to call on and secure group blocks.
  • Site walk-through with potential clients.
  • Working with clients and vendors to create and finalize event information (timeline, floor plan, staffing, food and beverage details, and more).
  • Work with marketing/public relations team and Company Events Coordinator to effectively promote events.
  • Manage on-site production for events.

Event Administration

  • Weekly progress reports to General Manager, Lark Events Coordinator and Regional Manager.Keep track of event finances including check requests, invoicing, and reporting.
  • Continuously manage a shared document that organizes prospective business, secured bookings and upcoming events/blocks.Group Bookings
  • Manage incoming group booking requests in a timely manner.
  • Setup group booking contracts and blocks within reservation system.
  • Work with front desk team to maintain accurate group block bookings in compliance with contract policies.
  • Keep track of group booking deadlines and finalization of blocks.

Qualifications

  • Excellent communication skills, including writing, proofreading skills, and speaking.
  • Excellent organizational skills and experience with project management.
  • Ability to manage multiple projects and work assignments.
  • Excellent interpersonal skills both in person and by phone, with high a high level of professionalism.

Responsibilities: When you are at the Hotel, you will be a representative of our boutique brand. Shift tasks will include guest reservations (phone and online), checking guests in/out, hospitality and concierge service, some set up and breakdown of breakfast, light cleaning, some administrative tasks, and other tasks related to the daily operation of the property. We will of course provide training.

Qualifications: Reliability is a must. The right candidates will be friendly, attentive, hard-working, forward-thinking, detail-oriented and trustworthy, be able to receive feedback and able to work as part of a team. Familiarity with Saratoga, its culture, events and geography is a plus.

Hours will be approximately 20 and 40 hours a week and weekend hours will be necessary.
